How to Generate Employee Documents in Synclo

Before you begin

Before generating employee documents, make sure you have:
• Company Admin or HR Admin access to PeopleManager
• document templates already created
• letterhead or company branding configured (if required)
• employee records available in the system
• permission to generate and send documents

If templates or letterheads are not configured, complete those first to ensure documents are generated correctly and professionally.

Why this setup matters

Employee documents such as offer letters, contracts, and HR letters are critical for compliance and communication. Generating them through PeopleManager ensures consistency, secure storage, and proper tracking of delivery status.

Steps

1. Sign in to Synclo and open PeopleManager
Log in to app.synclo.com with HR or Company Admin access. From the main navigation, open PeopleManager.

2. Navigate to Document Management
Go to Manage Company > Documents Management > Generate Employee Documents to access document generation features.

3. Open Employee Documents
Enter the Employee Documents section where all document generation and tracking takes place.

4. Filter and select employee
Use the filter drawer to find the employee by name, department, or other criteria, and select the required document type.

5. Generate the document
Click Generate Employee Document to create the document using the selected template.

6. Preview the document
Open the generated document in PDF or e-copy format to review formatting, content, and placeholders.

7. Send or download the document
Choose Send Document Via Email to share it directly with the employee, or download/print it based on your process.

8. Mark the document as delivered
After sending or handing over the document, click Mark Delivered to update the document status in the system.

9. Update templates if needed
If changes are required, go back to Document Templates or Letterhead Setup to modify formatting or content.

What happens next

After generating and delivering documents, you can:
• track document status and delivery history
• store documents securely within employee profiles
• regenerate or update documents when needed
• ensure compliance with HR documentation requirements

This keeps all employee-related documentation centralized and easily accessible.
