How to Configure Recruitment Roles

Before you begin

Before configuring recruitment roles, make sure you have:

• Company Admin or Recruitment Admin access
• employees already added to Synclo
• a clear list of recruitment duties
• the departments each user belongs to
• approval responsibilities agreed with your hiring team

Decide which users will work as Department Heads, Recruiters, Hiring Managers, or Interviewers. Since one employee can hold more than one recruitment role, review their duties before assigning access.

Why this setup matters

Recruitment roles control who can take part in hiring activities. For example, recruiters can manage applications, while interviewers can review candidates and provide feedback.

Clear role assignments also reduce delays because each user knows which tasks they must complete. In addition, inactive users can be removed from recruitment work without deleting their employee records.

Steps

1. Sign in to Synclo
Log in to Synclo with an account that can manage recruitment settings.

2. Open Recruitment Setup
From the left sidebar, open HireHub. Next, select Recruitment Setup.

3. Open Recruitment Users
The Recruitment Configuration page will open. Select the Recruitment Users tab if it is not already active.

4. Review the recruitment user summary
At the top of the page, review the totals for:

• Total Users
• Recruiters
• Hiring Managers
• Interviewers

These figures help you confirm how recruitment access is distributed across the company.

5. Review existing recruitment users
The Recruitment Users table shows each employee’s name, department, designation, recruitment role, and status.

Before adding a new user, search the list to confirm that the employee has not already been assigned a role.

6. Filter users by role if needed
Use the All Roles dropdown to view users with a specific recruitment role.

This filter is useful when you need to check how many recruiters, hiring managers, or interviewers are active.

7. Click Add User
Select Add User in the top right corner of the Recruitment Users section.

The Add Recruitment User window will open.

8. Select an employee
Use the Select Employee search field to find the employee by name or department.

Only employees who already exist in Synclo can be added as recruitment users.

9. Choose one or more recruitment roles
Select the role or roles that match the employee’s duties.

Available roles include:

• Department Head
• Recruiter
• Hiring Manager
• Interviewer

You can select more than one role when the employee performs several recruitment tasks.

10. Review the role responsibilities
Before saving, confirm that each selected role matches the employee’s work.

For example, assign Interviewer to users who take part in screenings or interviews. Use Hiring Manager for users who review candidates and support hiring decisions.

11. Set the user status
Use the Status toggle to make the user’s recruitment access active or inactive.

Keep the status active for current hiring team members. However, turn it off when a user should remain in the system but no longer needs recruitment access.

12. Add the recruitment user
Review the employee, selected roles, and status. Then click Add User.

The user will appear in the Recruitment Users table after the record is saved.

13. Edit an existing recruitment user
To change a user’s role or status, locate the employee in the table and click Edit under Actions.

Update the required information and save the changes.

14. Verify the updated role totals
After adding or editing a user, review the summary cards again.

The totals should reflect the current number of recruiters, hiring managers, and interviewers.

What happens next

After configuring recruitment roles, you can:

• assign interviewers during candidate screenings
• give hiring managers access to recruitment activities
• route recruitment tasks to the right users
• manage active and inactive recruitment access
• review users by recruitment role

These roles can now be used across job posts, candidate reviews, interviews, and offer workflows.

Quick Tips

• Assign only the roles each user needs
• Use multiple roles only when the employee handles several hiring tasks
• Keep inactive users in the system with recruitment access turned off
• Review recruitment roles when employees change departments or duties
• Use the role filter to check access before starting a new hiring process

Troubleshooting

• I cannot see Recruitment Setup
Your account may not have permission to manage recruitment settings. Ask a Company Admin to review your access.

• The employee does not appear in the search
Confirm that the employee has already been added to Synclo and that their record is active.

• The Add User button is not available
Your role may allow you to view recruitment users but not add or edit them.

• A user cannot access recruitment tasks
Check that the correct recruitment role is assigned and that the status toggle is active.

• The role totals did not update
Refresh the page and review the Recruitment Users table. Also confirm that the new user was saved successfully.

• An employee has the wrong recruitment role
Click Edit beside the employee, update the role selection, and save the changes.
